Board of Director Positions
The Board of Directors will be made up of a total of four (4) Named positions and seven (7) Directors serving various functions, in compliance with our new ONCA by-laws.
The President & Treasurer will serve on the same term, and the Secretary & Registrar positions will be paired on the same term, alternating from the President & Treasurer.

President
To be appointed: 1 year term for 2024/25, with a 2 year term thereafter.
- Have a full understanding and appreciation of the ERA’s programs and activities
- Be the official spokesperson of the ERA
- Oversees the operation of the Association
- Oversee ERA Mission, Vision and long range planning objectives
- Anticipate, initiate, coordinate and communicate with the executive team to ensure that all required tasks/activities are completed on time and within budget
- Ensure there is equity among all the program areas in the context of the budget
- Ensure administrative tasks are managed, including the upkeep of the organization’s non-profit status.
- Call meetings
- Set the agenda for the executive committee meetings
- Chair executive meetings and the AGM
- Attend all executive meetings
- Impart information to the executive regarding the ERA in order for them to make informed decisions; attempt to ensure that all executive get involved in the discussion
- Often provide a reality check to offset unrealistic ideas that can easily get traction
- Coordinate the approval of player moves with Southern Region Ringette Association and Ringette Ontario
- Ensure ERA records are kept
- Be an ERA financial signing officer and involved in the budgeting process
- Sign all contracts
- Monitor the mailbox
- Recruit other volunteers as required to assist with administration.
- Assist new executives
- Liaise with any committees that are formed
- Attend or designate as the ERA representative at external meetings as required. Act as the liaison with other Associations, the Region, Leagues and Ringette Ontario.
- Have a working knowledge of RO rules, protocols and policies
- Preparation of RO/Toronto insurance documentation, RO registration application
- Oversee funding request submissions
- Attending house league, LTS and games where possible to be accessible to the membership
- Communicate with parents and players. Be available to answer questions from members of the ERA.
- Answer inquiries from the public and members
Secretary
To be appointed: 2 year term effective 2024/25 season
- Attend all Executive Board meeting
- Prepare and distribute the minutes of Executive Board Meetings and the Annual General Meeting
- Forward minutes of executive meetings to all executive members in a timely manner
- Maintain a record of minutes resulting from all meetings including committees
- Act as chief returning officer for all elections
- Prepare and Distribute Executive Meeting Agendas
- Prepare electronic poll or other mechanism to solicit input and votes digitally - for Board Meetings and Membership at large
- Track board member terms
- Maintain critical governance documents (by-laws, policies etc)
- Track all player document including injury reports, and releases
Registrar
To be appointed: 2 year term effective 2024/25 season
- Assist with the season opening communication package
- Complete the season setup procedures in the RAMP system
- Monitor player registration emails and ensure RAMP registration is completed accurately for all players
- Open up registration in RAMP for staff, executive and volunteers (referees register directly through Ringette Ontario website). Provide Promo Code for RO fees
- Create Teams for all levels and place players and staff members on the teams
- Provide a variety of membership reports to executive board members
- Provide reports to program coordinators for each level of play (LTS, NHL, Adult, REP)
- Download Team Registration Forms (TRF) and distribute to Head Coaches and Program Coordinators
- Initiate transfers in RAMP for players moving to another association. Track transfers out and transfers into the ERA
- Monitor number of registrants for programs and create and manage waitlists
- Process requests for refunds in the system and provide details to the Treasurer to prepare refund cheques
- Communicate with Ringette Ontario for refund of RO fees
- Liaise with RAMP IT staff to resolve any system issues that occur
- Input registration fee payments in RAMP and work with the Treasurer to ensure the registration system balances to the bank statement. Update RAMP with any adjustments, promo codes, refunds, prorated fees, or account credits
- Ensure Respect in Sport Parent Program is completed by all members and Certificate number is entered in RAMP
- Monitor Registrar email and respond to a variety of questions or requests for information concerning ringette and ERA programs
- Review and validate any invoices from Ringette Ontario to ensure the fees charged match the registered members
- Setup Seasons in RAMP for Tryouts and Camps and Clinics
Director at Large: Growth
To be appointed: 2 year term effective 2024/25 season
- Ensure Etobicoke Ringette continues to recruit and expand from the bottom up
- Ensure all Growth KVPs are supported
- Conduct regular meetings with Growth KVPs to coordinate status updates
- Regularly visit CTR / LTS / NHL and community events to greet the new and current membership, and to answer any questions
- Represent the interests of all Growth KVPs at Executive meetings (Growth KVP's: CTR Convenor, LTS Convenor, NHL Convenor, AHL Convenor, Marketing & Communications)
Director at Large: Competition
To be appointed: 2 year term effective 2024/25 season
- Work in collaboration with Director of Development to participate in Head Coach selections
- Chair of the Disciplinary Committee (unless directly involved in the incident)
- Manage escalations or concerns with coaching/bench staff from parent/players
- Uphold and enforce all league rules, Code of Conduct for Athletes, Parents and Spectators ensuring ERA mission and values are demonstrated throughout all levels of play
- Oversee and support coaches with player disciplinary action or enforcement of Ringette Canada and Ringette Ontario policies
- Understand, monitor and implement Ringette Ontario’s safety protocols in terms of injuries, concussions, safe sports and other health and safety issues as they arise
- Represent the interests of all Competition KVPs at Executive meetings (Competition KVP's: LORL/GLRL Rep, Tournaments)
Director at Large
To be appointed: 2 year term effective 2024/25 season
- Be a voting member of the ERA Board of Directors, acting with sound judgement and without bias
- Assigned to lead projects and/or committees at the discretion of the other Directors
- Provide assistance to any Director or KVP as required
- Represent the interests of all KVPs at Executive meetings
